Malaria Consortium invites interested translation firm(s) /company's to indicate interest by submitting proposal documents for the following works:




Malaria Consortium is an international non-profit organisation specialising in the comprehensive control of malaria and other communicable diseases - particularly those affecting children under five. Established in 2003, Malaria Consortium works in Africa and Asia.

Title: Request for Proposal (RFP) for Translation Services

Preamble
Malaria Consortium is committed to obtaining a fair value for services received with a competitive price and timely delivery of the right quantities at the right quality.

It is the intent of this RFP to secure competitive proposals to select a firm to provide translation and proofreading services to Malaria Consortium.

Proposal Requirements
The submitted proposal shall include the following information. Failure to supply all requested information or comply with the specified formats will disqualify the bidder from consideration:
  • Signature to confirm compliance with Malaria Consortium's Policies (section E)
  • Copy of business registration documents (proof of legal operation in the country of residence of the company).
  • One copy of audited financial statements for the fiscal year 2020/21.
  • Copy of relevant internal good practice policies if available
  • Copy of relevant business insurances
  • Technical Proposal:
    • General background of your firm
    • Address of registered office and the office used for service delivery, if different
    • Range and depth of company experience, expertise or qualifications relevant to deliver the requested services.
    • Demonstrate ability to deliver at short notice in case of urgent queries
    • Three relevant client reference for similar contracts
  • Pricing proposal, with total cost estimate for the services, and including a full cost breakdown and any applicable taxes.
  • Advise if Quality Assurance and proofreading are included
  • Any charity discount available
  • Ability to offer better rates where projects are not time-sensitive or MC are able to bundle several pieces together
  • Currency and best payment terms

Submission of Documents
Vendors shall submit bids in softcopy to: tenders@malariaconsortium.org with the following reference in the subject: "MC-UK-022-Translation".

Additional Information
  • The most suitable firm demonstrating that they can fulfill the services as set out in this document coupled with offering the best value for money in the judgement of the Procurement Committee will be selected.
  • Following the bid opening Malaria Consortium will shortlist bids and invite shortlisted bidders to present their bid before final bidder(s) are selected.
  • Malaria Consortium shall notify the winning bidders in writing. Malaria Consortium is under no responsibility to release the identity or contract terms of the winning vendor.
  • Malaria Consortium reserves the right to accept or reject any or all bids, and to accept the bid deemed to be in the best interest of Malaria Consortium, and is not bound to accept the lowest priced bid submitted.
  • Malaria Consortium reserves the right to award contracts to multiple vendors if deemed to be in its best interest.
  • The award criteria shall be based on the proposals overall response and “value for money” while taking into consideration donor and internal requirements and regulations. The award will be determined by a committee of Malaria Consortium employees.
  • The successful vendor shall receive a contract for one year, which can be extended upon agreement of both parties.
  • The language for communications and required documents is English.
